How to collect gym fees online in India

To collect gym fees online in India you need a payment gateway account in the gym's own name — Razorpay, Cashfree or PayU — and software that records cash beside UPI rather than treating it as an exception. The decision worth thinking about is not which gateway, but who holds the money and what is deducted before it reaches you.

UPI is the default, cash is not going away

Most Indian gym members will pay by UPI given the option, and most gyms still take a meaningful share in cash. Any system that makes cash awkward to record — as a discount, a write-off, a manual adjustment — produces books that disagree with the drawer.

Whose account does the money land in

There is a real difference between software that connects to your own gateway account and software that collects on your behalf and settles later. The first means the money is yours immediately and the fee is the gateway's published one. The second means somebody else holds it, and the rate may not be the published one.

The costs that are not the sticker price

Ask specifically about a percentage of member payments, per-message charges for reminders, a charge per additional branch, and whether a feature you need sits on a higher tier. These are where gym software actually gets expensive.

  • Open the gateway account in the gym's own name
  • Make sure cash is a first-class payment method
  • Ask what percentage of member payments is taken, if any
  • Check that GST invoice numbers run consecutively with no gaps

If the gym is registered, invoice numbers must run in an unbroken sequence. Software that issues them out of order, or leaves gaps when a payment is deleted, creates a problem at filing time that is tedious to unpick by hand.
